With this official instruction, the university management aims to ensure that all HHU employees (incl. the Faculty of Medicine) receive the official notifications and information relevant to them. This is the only way to ensure they can realise their rights and obligations in full in the performance of their duties. Electronic messages (incl. attachments) sent to the official HHU e-mail accounts (universityusername@hhu.de), which must be used by all employees, shall thus be deemed to have been delivered. The only exceptions to this are documents for which written form is required by law.
For the majority of employees, nothing will change in practice as they already use their HHU e-mail accounts on a regular basis. All other employees are called upon to switch to their official account.
We ask HHU academic staff at the Faculty of Medicine to take particular note: The Düsseldorf University Hospital (UKD) e-mail account (xxxxx@med.uni-duesseldorf.de), which many use, is not an HHU e-mail account. Accordingly – if employees have not already done so – they must take action and activate their university username in the HHU Identity Management system and check their HHU e-mail account regularly. If employees wish to forward mails from their HHU account (universityusername@hhu.de) to their UKD account (xxxxx@med.uni-duesseldorf.de) they must also arrange this themselves.
Supervisors are requested to inform new employees that they need to activate their official e-mail address and, where necessary, enable existing employees who do not have their own computer workstation to access their official HHU e-mail account regularly.

The annex to the official instruction contains helpful technical notes published by the Centre for Information and Media Technology (ZIM). You can also contact the helpdesk if you have questions. HHU and the UKD are already in talks about providing additional technical support for academic staff at the Faculty of Medicine (e.g. by sending an additional copy of relevant circular e-mails to a UKD account for supplementary internal distribution) in the future.
